How to send scans and documents

Just send us your files. We'll handle the rest

You don't need to fill in every field. Send the hospital CD, photos or PDFs of your documents as they are, and a coordinator will sort them out and pass them to the Korean hospital.

In the form, only basic fields such as name and email are needed to send. If you upload documents, we fill in whatever fields we can read from them.

Pick what you have

I have the hospital CD and a computer

  1. 1
Put the CD into the computer. If a window pops up asking what to do with the disc, just close it.
  2. 2
Press the “Send files” button on this page. The form opens.
  3. 3
In the documents box at the top of the form, press “Upload a folder”.
  4. 4
A window opens. On the left, click the CD once: it is called something like “DVD Drive (D:)” (the letter may be E: instead of D:). Then press the “Upload” button at the bottom.

Step 4: ① click the CD once, ② press “Upload”.
  5. 5
The browser asks once more: “Upload … files to this site?” Press “Upload”, not the blue “Cancel” button. A line saying to upload only if you trust the site may appear too. That is normal.

    Step 5: press “Upload”.
  6. 6
Keep the window open until the green “files uploaded” line appears. Bundling usually takes 10–40 seconds; uploading can take a few more minutes depending on file size and your connection. If a yellow box appears instead, follow what it says.
  7. 7
Scroll down and fill in the empty fields (name, email, patient's language, type of cancer), tick the consent boxes, then press “Send referral” at the bottom. If the button is grey and says “Fill … more field(s) to send”, some fields are still empty. Your files reach us only after you press this button.

Windows and labels may look a little different on your computer.

No need to zip or sort anything. Our system leaves out program files such as the viewer and bundles the rest for you.

If the CD doesn't show up in the picker or can't be selected, copy everything on the CD into a new folder on your desktop and pick that folder.

I only have a phone, or my computer has no CD drive

Phones can't pick a CD folder. Photograph your documents, upload them and send the inquiry first. Once it's received, a progress link is emailed to you. Later, open that link on a computer that can read the CD and click “Upload a folder”.

The fastest way is to ask the hospital that did the scan: “Please give me the images as DICOM files, on a USB stick or as a download link.”

The hospital gave me a download link

Send that link to a coordinator on WhatsApp or Telegram. We'll download the scans and attach them to your inquiry.

My files are large or my internet is slow

You can upload them to Google Drive or Dropbox and just send us the link. These apps keep uploading even if your internet drops for a moment.

  1. 1Upload everything on the CD to Google Drive (or Dropbox) as one folder.
  2. 2Open the folder's “Share” settings, let anyone with the link view it, and copy the link.
  3. 3Paste the link into the message box on the progress link we email you, or send it to a coordinator on WhatsApp or Telegram.

Send the link only to us: the scan files contain your name and date of birth. Once we have all the files, please turn sharing off.

How to tell you have the right files

Send these as they are

  • Original CT, MRI and PET files (DICOM). Odd names like IM0001 or Z01, or files with no extension, are normal.
  • Imaging reports, medical certificates, biopsy results. Photos and PDFs both work.
  • One photo of the passport. The name and date of birth usually fill in from it automatically.

Please replace these with the original files

  • Photos of scans taken off a monitor screen. Doctors can't zoom in or measure them, so they are hard to use for review.
  • A few images picked out of a scan. It's better to send the whole CD.

If you get stuck

My files are over 1GB
In the form, a CD folder can be up to 1GB at a time. If it's bigger, send the inquiry first, then click “Upload a folder” on the progress link we email you. It's split into parts and uploaded automatically. If your internet is slow, the Google Drive / Dropbox option above is easier.
The CD won't open or asks for a password
Ask the hospital that did the scan to give you the same images again on a USB stick or as a download link. If that's difficult, message a coordinator.
I have several CDs
Upload the CD with the most recent scan in the form and send it. Add the other CDs one at a time with “Upload a folder” on the progress link we email you.
Should I send older scans too?
If you have them, yes. Doctors use them to compare with the recent scan. The most recent scan matters most, though.

What happens after you send

  1. 1.A coordinator checks your files and contacts you if anything is missing.
  2. 2.We translate the documents the hospital needs and send them along with the scans.
  3. 3.We pass on the Korean hospital doctors' opinion to you in your language.

You can send just what you have now

You can send anything missing later from the progress link we email you. For CDs, use “Upload a folder” on a computer.
